Organize Your Users & Improve Security Policies

 

Each one of the departments within your company may have different needs in terms of collaboration and sharing. Your engineering team might need only private links to the organization while customer-facing teams may want public links with some auto-expiration rules.

Now with the Zight groups feature (Available for Enterprise plans Only), you can add users to “groups” that have different default security settings. This will ensure data is shared the way you want, and matches how your team uses Zight.

Once your organization members are assigned to groups, it will also improve the reporting capabilities of Zight by letting you see which group has licences.

 

Features

  • Create and delete groups.

  • Set up security restrictions that differ for each group: public/private links and link expiry.

  • Assign users from the members' panel

  • Deleting a group will let you transfer all its members into another group.

  • Exporting your user list on your members' dashboard will include the user’s group

  • Coming soon: auto-provision and sync groups with your Identity Provider (IdP)

  • Coming soon: when sharing a video, screenshot, or collection, make sure a specific group has access.

 

Setting up Groups

  • The Members page has a new tab, shown for Enterprise customers, named “Groups”.

  • There, you can create a new group, or edit an existing group. A description as well as the number of members for each group is visible.

  • A group has the following options

    • Name

    • Description

    • Default link security setting: private to the organization or public

    • Default link expiration setting.

    • Note that this only applies to new files created. This is also just a “default” setting that the end user can override for now.

  • From the main “Members” view, you can quickly assign a group to a user. New files created for that user will have the group policies.

  • When Deleting a Group, you will be prompted to reassign members to a new Group or keep them Unassigned

FAQ

How many groups can a user have?

  • At the moment, team members can be added to one group, which is linked to one set of security rules

Can I share an item with a group?

  •  Coming soon!

If a user is not part of a group, what security settings do they have?

  •  If a user isn’t part of a group, the organization policies will apply in terms of link privacy and auto-deletion.

Can my members change groups?

  •  Only admins can update a user’s group so they are in control of the group’s access.
